How to Change a Candidate’s Application Status

Overview
Application Status helps track a candidate’s progress across different hiring stages such as screening, submission, interview, selection, and onboarding.
In the updated Welocity portal, status can be changed directly from the Candidates list page without opening the candidate profile.

Prerequisites
Before updating a candidate’s status, ensure:
The job is active and candidates are available in the system
You have reviewed the candidate profile, CV Match %, or AI insights
You have the required access/permissions to update candidate status
Steps to Change Candidate Application Status
Step 1: Go to the Candidates Tab
Log in to the Welocity portal and click on the Candidates tab from the top navigation bar.
Step 2: Locate the Candidate
Use the search bar and filters (Recruiters, Status, Availability, Interviews, Location, etc.) to find the relevant candidate from the list.
Step 3: Change Status from the Candidate List (Updated Flow)
In the Candidates table, navigate to the Status column on the right side of the candidate row.
Click on the current status button (e.g., Octo Screened, Submit to Client, etc.) to open the dropdown menu.
Step 4: Select the Required Status
Choose the appropriate status directly from the dropdown.
The status will be updated instantly without needing to open the candidate profile.
Available Status Options
Fresh – For newly added or recently sourced candidates.
Octo Screened – Automatically updated after Octo completes AI resume/interview analysis.
Screen Select – When the candidate passes internal screening based on CV match or recruiter review.
Screen Reject – When the candidate does not meet the screening criteria.
Hold – To temporarily pause the candidate in the pipeline.
Submit to Client – Used when candidate profiles are shared with the client for review and shortlisting for the client interview stage.
Client Interview – When the candidate is shortlisted by the client and moved to the interview stage.
Offered – When an offer has been rolled out to the candidate.
Selected – When the candidate is finalized for the role.
Rejected – When the candidate is not suitable for the position.
Onboarded – When the candidate has successfully joined and completed the hiring process.
Additional Note
You can still open the candidate profile for detailed review, but status updates no longer require entering the profile and can be managed directly from the Candidates dashboard for faster pipeline management.
